Group Sales Coordinator

Position Summary: A group sales coordinator is primarily a sales support role. A data entry specialist. Administrative position. From maintaining master client files to billing to supporting promotional event. A group sales coordinator supports all aspects of the sales team. The group sales department is primarily responsible for hotel capacity, booking events in the banquet halls and conference room and generating an overall increase in guest count for our entire facility.

Essential Duties and Responsibilities:

  • Preparation of client quotes and data required for billing.

  • Prepare billing and final event details for booked groups and events.

  • Analyze and reconcile accounts to identify outstanding balances.

  • Communicate with customers to negotiate payment plans while maintaining exceptional customer relations.

  • Set up and maintain new client data list as well as existing master sale records.

  • Comfortable with system interfaces including exporting/importing data among various systems.

  • Review, rewrite, update contracts for potential clients.

  • Maintain and track inventory from promotional products. Assist in ordering.

  • Generate sales leads through the research of community events, business activity and social events.

  • Develop and track the progress of booked events in our hotel/banquet hall/conference rooms.

  • Perform somewhat repetitive but essential duties for the sale team.

  • Proficient in Excel and other Microsoft Office products.

  • Prepare written correspondence for weekly reports.

  • Prepare billing and final event details for booked groups and events.

  • Assist in the welcoming of guest and clients that are coming to the facility who have booked events.

  • Responsibilities include supporting the sale of guest rooms, meeting space and other services to customer groups, managing accounts, and conducting site inspections, prospecting and generating new business.

  • Responsible for establishing customer relationships that will encourage repeat business.

  • Must promote cooperation and teamwork between all employees and always provide exemplary guest

services to maintain department efficiency and complete guest satisfaction.

  • Assure an environment which emphasizes cooperation, communication, and teamwork with all departments.

  • Support compliance with all internal procedures and regulatory requirements, including those associated with underage and intoxicated guests.

  • Support current law and policy to provide a work environment free from illegal and discriminatory behavior.

  • Complete job duties with minimal supervision, maintain acceptable attendance, and use appropriate judgment.

Knowledge, Skills, and Abilities:

Associates degree preferred, or equivalent work experience.

• Minimum one year of prior hotel or group sales experience.

• Must have excellent verbal and written communication skills.

• Knowledge of guestroom sales, planning and execution of sales solicitation efforts that are consistent with established the sales and marketing objectives.

• Possess organizational skills to function effectively with attention to detail while meeting established deadlines.

• Maintain and promote a professional appearance and demeanor.

• Ability to think outside of the box with a keen awareness of trends and opportunities.

• Ability to implement highly leveraged programs company-wide.

• Work in a fast-paced, busy environment while maintaining physical and mental stamina for significant periods of time and the proper mental attitude and ability to deal effectively with guests, management, employees, and

outside contacts.

• Ability to analyze, interpret department needs and results, and solve complex problems under pressure, and meeting deadlines in an interruptive environment.

  • Excellent customer service skills and the resiliency to deal with difficult guests in all types of business

conditions and work effectively and courteously with fellow employees.

  • Ability to maintain strict confidentiality including, but not limited to, player activity, claim activity, financial data, marketing plans, and policies.

• Ability to solve complex problems and maintain mental concentration for significant periods of time.

• Ability to perform assigned duties under frequent time pressures and in an interruptive environment.

• Ability to perform a broad variety of tasks and deadlines with an irregular work schedule.

• Ability to communicate effectively with guests and all levels of employees in both oral and written form.

• Ability to work in casino and office environment with excessive noise levels, bright lights, and smoke

environment.

• Knowledge of all facilities and promotional events available to guests on property.

• Has the resiliency to deal with difficult guests in all types of business conditions and the ability to work effectively and courteously with fellow employees.

Job Specialized:

A sound understanding of and skill in several activities which involve a variety of practices and precedents or a basic understanding of the theory and principles of the discipline. Typically requires an Associate's degree (A. A.) or equivalent from two-year college or technical school; or two years related experience and/or training; or equivalent combination of education and experience.
